East Coast Administration Ltd is committed to protecting the privacy and security of your personal information. We take care to protect the privacy of our clients and users of our services that communicate (online or offline) with us, over the phone, by email, through our mobile applications, websites and social media platforms.

  • NI Number
  • DOB
  • Business information including UTR, Company Registration number, and any other information needed for the day to day work which you require from us. You will be asked to sign a tick list of the information we would hold on file and may process in relation to you and your business to show your agreement to us holding and processing this data.

We may, in further dealings with you, extend this information to include services used, and subscriptions to software, records of conversations, emails and agreements and payment transactions.

  • You are under no statutory or contractual requirement or obligation to provide us with your personal information; however we require at least the information above in order for us to deal with you as a service user in an efficient and effective manner and we are required by HMRC to obtain specific information about our clients and in the case of payroll processing their staff in order to meet the requirements of the money laundering regulations and the rights of a person to work within the UK.
  • The legal basis for processing your data, depending on the service we provide to you is based on one or more of the following – your specific consent/performance of a contract/compliance with a legal obligation that we will have requested/stated at the point the information was initially provided, therefore we will not store, process or transfer your data outside the parties detailed above unless we have an appropriate lawful reason to do so.

7 How long we keep your information for

Unless otherwise required by law, your data will be stored for a period of 6 years after our last contact with you at which point it will be deleted or returned to you. If we are unable to trace you we will delete any information we hold which may include copies of work that we have carried out on your behalf.

  • Asking you to provide us with our own passwords to any software/bank application you may wish us to access as part of our role with you and not to provide us with your own; This enables you to limit our access to those areas and functions required in order to provide the service you require from us.
  • Advising you never to enter your account number or password into an email or after following a link from an email.
